Sportz Track - Refund Policy

At Sportz Track App, we strive to provide the best possible experience for sports clubs, academies, and their members. As part of our service, we facilitate recurring payments from parents for various programs, training sessions, and related services. This Refund Policy outlines the terms and conditions under which refunds are processed. By using our platform, you agree to the following terms.
1. Introduction
This Refund Policy applies to all users of Sportz Track app’s services, including sports clubs, academies, and parents making payments through the platform. Our goal is to ensure transparency in how payments are handled, and how refunds are processed in case of cancellations, changes, or errors in billing.
2. Payment Collection
Payments on the platform are collected on a recurring basis, usually monthly / Termly or Annually, depending on the sports club or academy's billing cycle. The payments cover training fees, membership fees, special events, and other related services.

Recurring Payments: By enrolling in a sports program, parents authorize recurring payments through the platform.

Billing Cycle: Payments are typically processed on a set schedule (e.g., monthly, quarterly), and this schedule is clearly communicated at the time of enrollment.
3. Refund Eligibility
Refunds may be issued under the following conditions:
3.1. Cancellation of Services

Parent-Initiated Cancellations: If a parent cancels their child's participation in a program before the start of a billing period, they are eligible for a full refund for that period. Cancellations made after the billing period has begun may be subject to prorated refunds, depending on the club or academy's policies.

Club/Academy-Initiated Cancellations: In cases where the sports club or academy cancels a program or event, parents are entitled to a full refund for the affected period.
3.2. Non-Participation or Withdrawal

Before the Start of Program: If a child does not participate in a program or event, and the parent provides notice before the start of the program, a full refund will be provided.

Mid-Term Withdrawal: If a parent withdraws their child from a program after it has started, refunds may be issued on a prorated basis, reflecting the unused portion of the service. Clubs or academies have the discretion to offer refunds or credits for future services.
3.3. Errors in Billing

Duplicate Payments or Overcharges: In cases of duplicate billing or overcharges, parents are eligible for a full refund of the overpaid amount. Refunds will be processed as soon as the error is confirmed by the platform or the sports organization.

Incorrect Payment Amounts: If an incorrect payment amount was charged due to a platform or administrative error, a refund or credit for the difference will be issued promptly.
4. Non-Refundable Services
Certain payments may be non-refundable, depending on the sports club or academy’s policies. These include:

Non-refundable Registration Fees: Some clubs may charge a one-time registration fee that is non-refundable once paid.

Special Events/One-Time Classes: Payments made for one-time events or special sessions may not be eligible for refunds, especially if the event has already taken place.

Late Cancellations: Refunds may not be provided if cancellations occur within a short window before the start of the program (e.g., within 24 hours of a session), depending on the club’s cancellation policy.
5. Prorated Refunds
When a refund is issued for services that were only partially used (e.g., mid-season withdrawal or cancellation), the refund amount will be calculated on a prorated basis. This means that parents will receive a refund for the unused portion of the program.
Example: If a child participates in only 2 weeks of a 4-week program, the refund may be 50% of the total paid amount, minus any applicable administrative fees. Kindly Note that it will purely based on the discretion of the academy's terms and conditions
6. Refund Process
When a refund is approved, the following steps will be taken:

Refund Method: Refunds will be issued to the original payment method used during the transaction (e.g., credit card, bank transfer).

Processing Time: Refunds will be processed within 7-10 business days from the date of approval. However, depending on the financial institution, it may take additional time for the refund to appear in the parent’s account.

Confirmation: Once the refund is processed, an email notification will be sent to the parent, confirming the details of the refund.
7. Refund Request Process
To request a refund, parents must follow these steps:

Contact the Sports Club/Academy: Parents should first contact the sports club or academy admin to discuss the reason for the refund. The club or academy in-charge will review the request based on their specific policies.

Submit a Refund Request: If approved by the club or academy, the refund request will be submitted through the Sportz Track app's platform.

Verification: The platform will verify the eligibility and amount of the refund in coordination with the club or academy.

Refund Issuance: Once the refund is verified and approved, it will be issued to the original payment method.
8. Subscription Cancellations
If parents are subscribed to a recurring payment plan (e.g., monthly or term-based subscriptions), they can cancel their subscription at any time. However, refunds for already-processed payments may not be issued unless the cancellation request is made before the start of the next billing cycle.

Advance Notice Required: Parents must provide notice before the start of the new billing cycle to avoid being charged for the upcoming period.

Refunds for Future Cycles: If a parent cancels their subscription but has already paid for an upcoming billing cycle, they may be eligible for a refund, depending on the club or academy’s cancellation policy.
9. Exemptions and Special Cases
Certain circumstances may affect refund eligibility, including:

Events: Refunds may not be provided for events canceled or disrupted due to reasons beyond the control of the club, academy, or platform, such as natural disasters, pandemics etc.

Credits Instead of Refunds: In some cases, clubs or academies may offer credits vouchers for future services in place of refunds. These credits can be used for future classes, programs, or events.

Administrative Fees: Certain programs may charge non-refundable administrative fees. Parents will be informed of any such fees during the registration process.
10. Dispute Resolution
If parents have concerns or disputes regarding their refund, they are encouraged to contact both the sports club/academy and our Sportz Track app's support team. We will work with all parties involved to resolve the issue fairly and promptly.

Escalation: If a satisfactory resolution cannot be reached, parents may escalate their dispute to a higher level of support within the platform.

Resolution Timeframe: We aim to resolve all disputes and refund-related issues within 14 days of the initial request.
11. Changes to Refund Policy
We may update this Refund Policy from time to time to reflect changes in our services or applicable laws. Any changes will be communicated via email or through in-app notifications. Continued use of the platform after such changes constitutes acceptance of the revised Refund Policy.
